Ledgerly Invoicing Software Review: Built for Small Online Stores

Thirty days running the invoicing and payment tracking of a small online store on Ledgerly. Clean, quick to set up and priced sensibly. Reporting is the area still catching up.

Ledgerly does the core job of a small store's invoicing tool very well: invoices are quick to create, payments reconcile automatically from the major processors and the customer-facing pages look professional. Marketplace imports are reliable. Reporting is limited to a handful of fixed views, and there is no inventory link. Recommended for sellers doing between roughly 50 and 1,000 orders a month who have outgrown spreadsheets and do not need full accounting.

What Ledgerly is

Ledgerly is a web-based invoicing and payment tracking tool aimed at small online sellers. It sits between a spreadsheet and a full accounting package. It creates and sends invoices, records payments, chases late payers, imports orders from the main marketplaces and produces a set of summary reports. It does not do double-entry bookkeeping, payroll or tax filing, and it says so on its pricing page. Plans start at 12 US dollars a month; the Standard plan tested here costs 29 dollars a month.

How it was tested

For 30 days Ledgerly handled the invoicing for a small online store I help run, which processes around 220 orders a month across its own website and one marketplace. I set the account up from scratch, connected the payment processor and the marketplace, created recurring invoices for three wholesale customers and used the mobile app to record two offline payments. I also contacted support twice with genuine questions.

Setup

Account creation, business details, logo upload, tax settings and the first invoice took 18 minutes. The onboarding sequence is short and asks only for what is needed. Connecting the payment processor was a two-step authorisation. Connecting the marketplace required generating an API key in the marketplace seller dashboard, and Ledgerly's instructions for that were accurate with screenshots that matched the current interface, which is rarer than it should be.

Creating and sending invoices

The invoice editor is a single page. Customer, line items, tax, discount, notes and payment terms are all visible at once. Products can be saved and reused, and the editor remembers the last-used settings for each customer. Invoices are sent by email with a hosted payment page, and the customer can pay by card or bank transfer without an account. The hosted page is clean and carries the store branding. Two wholesale customers commented, unprompted, that the invoices looked more professional than the ones they had previously received from us.

Recurring invoices can be scheduled weekly, monthly or on a custom interval, with automatic sending or a review step. Payment reminders are configurable by day offset and template. Over 30 days, the reminders reduced the average time to payment on wholesale invoices from eleven days to six.

Payment reconciliation

Every payment received through the connected processor was matched to its invoice within a few minutes, including partial payments and one refund. Offline payments recorded in the mobile app appeared in the web view immediately. In 30 days there were no unmatched transactions, which is better than the tool this store used previously.

Marketplace import

Marketplace orders are imported hourly and appear as paid invoices with the marketplace fee recorded as a separate line. The import handled 96 orders in the test period without a duplicate or a miss. Hourly rather than real-time import is a limitation for sellers who need to see orders as they arrive, but for invoicing and record keeping it is adequate.

Reporting

This is where Ledgerly shows its age relative to its price. There are six reports: sales by period, sales by customer, sales by product, outstanding invoices, payments received and tax collected. Each can be filtered by date and exported to CSV. There is no custom report builder, no cost-of-goods or margin view and no inventory link. For a store that tracks margin, a spreadsheet is still needed alongside Ledgerly. The company's public roadmap lists a report builder for later this year.

Mobile app

The iOS app covers invoice creation, payment recording and customer lookup. It does not include reporting or settings. It is fast and stable, and it was useful for recording a cash payment at a market stall. It is a companion rather than a replacement for the web app.

Comparable tools either charge more for the same features or add a percentage fee per invoice. At 29 dollars for unlimited invoices, Standard is good value for a store at this volume.

Support

Two questions were sent through in-app chat during business hours. The first, about tax settings for a second state, was answered in 40 minutes with a correct, specific reply. The second, about the marketplace import interval, was answered in about two hours and confirmed that hourly is the current limit. Documentation is thorough and searchable. There is no phone support on the Standard plan.

Data and security

Ledgerly states that data is encrypted in transit and at rest and that it holds a current independent security certification. Two-factor authentication is available and I enabled it. Data can be exported in full at any time as CSV, which matters for a tool that a business may outgrow.

Final verdict

Ledgerly is a focused, well-built invoicing tool that does its core job reliably and is priced fairly. Sellers who need margin reporting, inventory or full accounting will need something more, and Ledgerly does not pretend otherwise. For small online stores that want professional invoices, automatic reconciliation and fewer late payments without the overhead of an accounting package, it is an easy recommendation.
